We regret to inform you that when your March 7, 2019, request was received by City Clerk's staff, it was inadvertently misfiled and was not indexed as a new public records request in our GovQA system (public records request tracking system) and as a result we inadvertently overlooked providing an initial response to you. Based on our understanding of your March 7 public records request and follow up March 19 email, in response, see attached Excel spreadsheets generated from available data in the City's Enterprise Vault System as it pertains to the emails returned from the search/review performed and designated as responsive to your public records request assigned PRR A01247 (Item 3). You will note the attached Excel spreadsheets do not include a "To" column. We are unable to generate a report that includes recipient name(s).

The relevant emails provided to you under your request assigned PRR A01247 were produced to you in native format (including associated metadata). In addition to the metadata visible when you open the provided emails (such as: "From," "Sent," "To," "Cc," and "Subject") , you can access additional metadata when you click on the "Tags" option in Outlook. You may already be aware of this information, but I wanted to share it in case you are not aware of it. As it pertains to the remaining redacted emails under your request assigned PRR A01247, Deputy City Clerk Laurie Farnsworth will be following up with you on or about April 3.

Unfortunately, we are unable to determine what remaining identifiable public records you are attempting to seek under your request. By "...full list, which includes all PDFs..." what list do you mean and what PDFs are you referring to? Also, what do you mean or what are you referring to when you state "full list of matches"? Deputy City Clerk Laurie Farnsworth did make available to you a CD of emails containing 4,470 emails which required no redactions of information. The provided CD contained releasable emails (including any attachments) that were in response to Items 1 through 3 of your request. Are you perhaps attempting to seek an excel spreadsheet of the emails which were specific to Item No. 3 of your request rather than the list I provided to you which included all 4,470 emails under Items 1-3 of your request assigned PRR A01247? If so, please advise and I can make that available to you. In case it's helpful information, with respect to the Excel spreadsheets provided to you under my March 19 response, we are unable to generate a spreadsheet that includes information such as whether an email included an attachment or not.

We wish to be of assistance to you and make available to you whatever records you are attempting to seek under your March 7 request. In order to enable staff to proceed with an adequate search for responsive records, if any, to your request, we will require a sufficient description of the identifiable public records that you are attempting to seek. Please clarify and provide any such clarification by the April 17, 2019, date as specified in my previous response to you below.

Due to other workload, we were unable to follow up with you sooner and appreciate your follow up email below. Upon City Clerk's staff review of your request, we were having a difficult time interpreting your request as to what records were being sought. We are in the process of working with Police and IT Department staff on the continued review of your request and to determine whether any records can be located in response to your request for " The list of all digital records referencing "dave grossman" or Killology."
