The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by attachment or URL for download.

A preliminary search has revealed approximately 19,000 pages of call logs, which would need to be exported and saved into pdf format. In addition, they would need to be reviewed for potential redactions under public records exemption (a). In accordance with 950 CMR 32.07, I hereby provide you with the following good faith estimate of the applicable search and segregation time fees, calculated as follows:

For search/segregation time expenses:

Position: Senior IT Specialist

Hourly Rate: $25.00 x 10 hours = 250.00

(Actual Hourly Rate exceeds $25.00/hr)

For redaction review:

Position: Assistant City Solicitor

Hourly Rate: $25.00 x 2 hours = 50.00

(Actual Hourly Rate exceeds $25.00/hr) _________

SUBTOTAL $ 300.00

Less First 2.0 Hours of Search Time = - 50.00

($25.00 x 2 Hours)

TOTAL ESTIMATE $200.00

Under G.L. c. 66, §10(d)(iii), the first two hours of search and segregation time are free.

Upon receipt of the estimated fee and the city's review of the relevant documents, the city will produce copies of the portions of the files which are public records and shall withhold or redact any document or portion thereof, specifying the applicable exemption(s). Please make your check payable to the City of Somerville and send it to my attention.

If you are looking for a summary of the number of types of calls per year, I can inquire as to how long that would take to compile.

You have stated that the information would be 19,000 pages of PDFs. Your sample PDF page suggests that this information is held in some archival system and is being **exported** to PDF. You also stated that this information "would need to be exported and saved into pdf format".

It would be preferable if my request could be filled by providing the digitized information in a machine readable format, such as CSV (Comma Separated Values), TSV (Tab Separated Values), JSON (Javascript Object Notation), XML, or *.xls (Microsoft Excel Sheet).

I suspect that this format would also be less toilsome for the City of Somerville Staff, while also being more in the spirit of public records requests: providing reasonable transparency in government to MA residents. A PDF export is, from my perspective, an unnecessary obstacle to public access of the information. If, however, there are procedural reasons that a PDF export is the only option, I will be receptive to hearing them.

Finally, while I have no objection to the inclusion of the Location information, I am not interested in the Location of the calls. Those can be omitted if it makes it easier and therefore less costly to fulfill the request.

Please consider these modifications to my request and any modifications to the necessary fees. I do intend to follow through after these steps to ensure the request is clearly understood. Thank you for your assistance.

You have stated that the information would be 19,000 pages of PDFs. Your sample PDF page suggests that this information is held in some archival system and is being **exported** to PDF. You also stated that this information "would need to be exported and saved into pdf format".

It would be preferable if my request could be filled by providing the digitized information in a machine readable format, such as CSV (Comma Separated Values), TSV (Tab Separated Values), JSON (Javascript Object Notation), XML, or *.xls (Microsoft Excel Sheet).

I suspect that this format would also be less toilsome for the City of Somerville Staff, while also being more in the spirit of public records requests: providing reasonable transparency in government to MA residents. A PDF export is, from my perspective, an unnecessary obstacle to public access of the information. If, however, there are procedural reasons that a PDF export is the only option, I will be receptive to hearing them.

Finally, while I have no objection to the inclusion of the Location information, I am not interested in the Location of the calls. Those can be omitted if it makes it easier and therefore less costly to fulfill the request.

Please consider these modifications to my request and any modifications to the necessary fees. I do intend to follow through after these steps to ensure the request is clearly understood. Thank you for your assistance.
