We are looking for all documents related to the San Rafael contract with Sungard to purchase Sungard TrAKit software, including the original contract, the date, implementation and maintenance costs, total cost, contract duration, and all services rendered.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Hello Justine Desmond-

On behalf of the City of San Rafael, I am responding to your Public Records Request regarding our contractual arrangement with Sungard. Sungard owns the "Trakit" permit tracking software that is used by the City of San Rafael Community Development and several other City departments. Here is a response to your request:

1. The City of San Rafael purchased the Trakit permit tracking software in 1999. The program was purchased from CRW Associates (CRW), the then owners of the software system. This initial purchase included a contract for CRW to provide annual maintenance. Attached, please find the 1999 San Rafael City Council resolutions authorizing the purchase and annual maintenance fee.

2. Several years ago, CRW sold the permit tracking program to SunGuard. Since the City of San Rafael already purchased the program, there were no contractual arrangements with SunGuard to "re-purchase" the program. Following an initial consultation, SunGuard and the City of San Rafael agreed to provide continual maintenance service of the Trakit program, but no new or amended maintenance agreement was executed.

3. For the first year of maintenance service with SunGuard the annual maintenance fee for 2017 was $20,270.40. See attachment for copy of invoice dated June 6, 2016. The City just received and authorized payment of the 2018 maintenance fee from SunGuard. However, the invoice is in process and is not available to forward to you.
