Pursuant to the California Public Records Act, I hereby request the following records:

1 — any databases and/or spreadsheets used to track requests under the California Public Records Act
2 — the job descriptions and employee requisition forms for all agency employees tasked with handling public records requests presently and for the last 10 years from the date of this request
3 — any and all policy documents, manuals, memos and/or reports regarding the processing of public records requests

In the regard to the database requested in paragraph 1, please provide the database in its original electronic format pursuant to Cal. Gov. Code § 6253.9

The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 10 calendar days, as the statute requires.

In regards to item 1, can you answer the following for me?

1 - what format is the database currently held in? .xls, .csv, .db, .dat, .sql, or some other format?
2 - what format will your proposed export be in?
3 - what is the name of the software vendor that provides the software used to track requests?
3 - what statutory exemption are you relying on to withhold the original database? You noted you believe the database was "proprietary information" but the statutory exemption was not included in your letter.

In response to your question regarding the time frame, I am asking for the release of the entire database.

Here are our responses:

1 - what format is the database currently held in? .xls, .csv, .db, .dat, .sql, or some other format?

It’s a .sql database.

2 - what format will your proposed export be in?

It will be a PDF document. As stated in our letter, we can perform an extract from the CPRA database to create custom report of CPRA requests received. The data elements available include matter number, requester’s name, type of request, summary of documents requested, request date received. We kindly ask that you specify a time period such as “the last six months.” Additionally, CPRA notes that public entities may charge requesters for the cost of data extraction, but we will need you to specify a time period and which items you specifically want in the report. After that, we can let you know of an estimated cost to create such a report. We ask that you respond to this email by 7/30, otherwise, we will be closing this request.

3 - what is the name of the software vendor that provides the software used to track requests?

Time Matters by PC Law (formerly by Lexis/Nexis)

4- what statutory exemption are you relying on to withhold the original database? You noted you believe the database was "proprietary information" but the statutory exemption was not included in your letter.
The response letter we sent to you provides the relevant section. As it is stated, it is based on CPRA Section 6253.9(f).
