The City's public records software does not have a search option to identify responsive documents to a public records request by attachment type as you have requested. In order for the City to search for responsive records, each records request will have to be reviewed individually and searched by hand. In addition, if documents have been provided as a .pdf I would not be able to determine if the single .pdf contained more than one document. Please note that for each responsive requests the associated fees must be paid prior to release. Due to the high volume of requests, the City will dedicate 2 hours per month to your request. I anticipate this request taking several months to identify the responsive records. Once the records have been identified I will provide you with the total costs for the responsive records. If you can clarify your request in a manner that allows us to search the City’s public records, this will likely expedite the response time.

The City is going to provide third party notice to the family of the juvenile victim of your request allowing them 15 business days (October 15, 2021) in which to get an injunction to prohibit the release of these records. If no injunction is sought or granted the City will require a deposit as outlined below for the video redaction of responsive records in this installment. Responsive records to your record request includes a video file requiring information technology editing expertise before it can be released.  Specifically, the City would need to remove audio to protect the identity of a juvenile victim, which requires specialized IT expertise and editing equipment (software).  The City estimates it would cost $60.25 to produce the redacted file.  If you would like to receive the redacted file, the City requires an advance deposit in the amount of $6.00 prior to starting on the redactions. The remaining balance $54.25 would need to be paid after the redaction is done prior to release.  If the City does not receive the advanced deposit within 15 calendar day from the date the injunction period ends (November 1, 2021) the City will close the request as abandoned.
