To Whom It May Concern:

Pursuant to the Virginia Freedom of Information Act, I hereby request the following records:

Training materials developed by the Library of Virginia for Records Officer’s concerning the requirements of and compliance with the Virginia Public Records Act. This should include any manuals, Power Point presentations (or the like), videos, tutorials or any other documents which instruct Records Officer’s on their duties.

In the event that there are instructor led courses and/or computer based training, any documents describing the names of the courses and any descriptions of the content would also be appreciated.

If the material can be found online, URL links to the material is sufficient to satisfy this request unless the material cannot be found online and is publicly accessible.

The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 5 business days, as the statute requires.

Sincerely,

Shawn Breen

Mr. Breen,

I'm replying to your requests today separately just in case Muckrock would
show one as "open" if I replied to both together. In future, if it helps
to reply to them in combination, just let me know. I just assumed that you
did them separately so you could track them separately.

For this request, most of the information you are requesting can be found
openly on our records management web page
<https://www.lva.virginia.gov/agencies/records/>. Specifically I'd point
you toward the Virginia Public Records Management Manual, the Tip Sheets,
and the Guide to the VPRA. Of particular interest that aren't readily
apparent from that first landing page would be our YouTube playlist
<https://www.youtube.com/playlist?list=PLMBxwRsuTIggFtk5Ws5u04unZFnsuOQVg> as
well as all of the instructions on how to complete our various forms on our
forms page <https://www.lva.virginia.gov/agencies/records/forms.asp>.

Beyond that, we don't have anything resembling a formal records management
education curriculum. Each of us do give training presentations from time
to time, in person and online, supported usually but not always with
PowerPoint slides. Speaking for myself, I did six last year even during
COVID, and 16 the year before. Most of them use virtually the same slide
deck, with very minor tweaks (on the first slide I name the
event/conference I'm speaking to, for example) according to the audience or
as I very slightly evolve how I present the information. I have two
colleagues that do the same, and in the past two years two other colleagues
who have since moved on to other positions did likewise (although their
PowerPoints are now lost to me since they've left the library).

So, for partial clarification of your request, I'd ask that you let me know
if those PowerPoints interest you (and I'm attaching the one I gave this
morning as a sample) - if so, we probably need to discuss which, how many,
a time range, etc. Or this may be where your request addresses just a list
of names of courses - that is, in this case, a list of audiences we
presented to - but I wanted to make sure we were clear on what was being
requested rather than assume.

I think the Power Point presentations would suffice to complete this request. Appreciate all the links which will save me time. Thanks again.

Well, what I'm saying is that I could give you 6 PowerPoints from last
year, but all would be nearly identical - possibly a slide or two's
difference. Speaking for myself, 80% of the presentations I've given in
the last four plus years have been functionally the same as the one I just
sent you, although it has evolved slightly, slide-by-slide, over time.
There are a couple of different ones that I've given to specific audiences
with somewhat different interests, but even then the core remains more or
less the same. The information presented hasn't changed significantly,
just the slides I use to get the point across, if that makes sense.

For the purposes of fulfilling the request, could you give me a list of
what you want, what time frame, and from how many people - myself, and/or
my colleagues? Do you want only presentations given TO certain agencies?

Sorry, I misunderstood. Just pick one as an example and I’d be good with that!

Thanks again,

Okay. For an example separate from the one I already sent, I'll offer this
one from Chesapeake Public Schools from 2019. You'll see it's a little
different but still substantially similar. If you want other examples,
just let me know.

Nope that will be good.
