Absolutely!

From your email headers, it looks like your office is using Office 365. The below documentation was recently helpful for another agency that also uses Office 365.

Let me know if this documentation isn't fully helpful, or is unclear in any way. I am more than happy to provide further documentation where necessary.

0. Username must have access to search and export eDiscovery reports. If not, your IT department should have access to either grant the required permissions, or run through these steps themselves.
1. From Internet Explorer, log into https://protection.office.com/.
2. Navigate to "Search & Investigation" -> "eDiscovery" and create a new case.
3. Open the case, then create a new search through "Search" -> "New search"
4. Add a "Type" condition and select, "E-mail messages".
5. Under "Locations" -> "Specific locations" -> "Modify...".
6. Toggle the location that includes "Exchange email" and click "Save".
7. Click "Save & run" and give the search a name.
8. Navigate to "More" -> "Export results", then select the following options:
-Output options: "All items, excluding [...]"
-Export Exchange content as: "Individual messages"
9. Navigate to Export -> "[Name of export]_Export".
10. Click "Download results" and launch the "Unified Export Tool".
11. Paste the export page's "Export key" into the tool's key field.
12. Choose a save location and click "Start"
13. Open "results.csv" from the saved location.
14. Delete all columns that are not the requested metadata and save.

Good morning Matt,

I have spoken with IT. In January 2017 we were not using Office 365, so the instructions given to us of no use unfortunately. Do you have any other tips that may work? In specific, we may have to pull this information from the Archive Manager since it is so old. Are you familiar with Archive Manager?

Look forward to hearing from you.

Thank you.

From: Matt Chapman

Thank you for letting me know. I will look into this and let you know sometime over the next couple days.

From: Matt Chapman

I'm not very familiar with Archive Manager, but through research it looks like there are two pieces of software with the same names: one from Metalogix and one from Quest. Which one is Las Vegas using?

Both of them appear to have backends that support SQL, though. Perhaps the IT department can look into the database schemas and see if the tables include the metadata responsive to this request. I can help write the query, but neither software companies release information about their database schemas, so I'd likely have to work with someone over email/phone if help's needed there. That said, working directly with the company that provides the software may ultimately be the better route.

From: Information Technology, Nevada

Thanks for the response Matt. It is the Archive Manager by Quest that the city is using. I have copied Scott into the chain, who is our email guy. With my limited knowledge, We may have to pull the emails and manually redact the contents of the emails?

From: Matt Chapman

Nope - I'm only looking for the email metadata (to/from/cc/bcc/times) and NOT the contents (subject/body) of the emails themselves. As such, the redaction process - if any - should keep that in mind.

Matt

From: Information Technology, Nevada

Correct I understand that part of the request. My question is this: for the email metadata do you want the data solely from our IT employees or the metadata for the entire data base (all employees).

Hi - I'm reviewing this request. The request doesn't look like it was completed properly. The information attached is in the format of:

"93795039,2017-01-02 15:29:42.803,JGuinn@ncenet.com,To"

The last column is a direction of the email, but it should instead be the email addresses of the opposite side. The columns should be "to, from, cc, bcc, time" instead of what it currently is. As it stands, the only way to associate each line would be by timestamp, but that is bound to have time collisions.

Could this please be reviewed again, and resent to me ASAP?

Thank you in advance -
Matt Chapman
