If it’s okay, I’d like to just ask whether the Municipal Clerk’s Office is conceding a violation of the COA Records Retention Schedule and Records Management Policy.
The retention schedule requires you to retain GORA correspondence for 3 years. The Records Management Policy requires you to inventory and update files that are being retained.
You’re telling me you don’t have that, right? Perhaps I’m misunderstanding your response.
If I’m not, has your office self-reported this Retention and Policy violation, or should I?

In response to your email of June 14, 2023, the Office of the Municipal Clerk maintains its records in accordance with applicable retention requirements. However, we do not maintain them in a manner that allows us to conduct a reasonable
search for "all ORA requests we received and responded to since January 1, 2023."

Having taken a cursory glance at the 32 email chains that compromise these responsive records, these records appear to only respond to the “received from” portion of our request.
We are unable to locate nearly all emails responsive to the “sent by” portion of the request. Perhaps those are the 14 emails sent to the Department of Law?
Are we missing something?
