According to the Atlanta Police Department's Standard Operating Procedure Policy Manual, "[g]enerally, data gathered through the use of the Domain Awareness System will be destroyed as a matter of course at the end of the pre-archival period. Any decision to retain certain data possessing evidentiary or other value beyond the pre-archival period must be approved and documented in writing by the Deputy Chief for the Community Services Division, or their designee."

Additionally, "[t]he pre-archival period for video is fourteen (14) days. Archival footage deemed necessary to preserve and which is not considered evidence of a crime will be approved by the Authorized Agent and stored as a file on a secured server with its original Computer Assisted Dispatch (CAD) number."

Pursuant to the Georgia Open Records Act, I hereby request the following records:

Documents sufficient to show every instance between 1/1/2022 and 8/8/2023 where the Deputy Chief for the Community Services Division or their designee approved retaining video footage beyond the 14 day pre-archival period.

The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 3 business days, as the statute requires.

I have received the following response from our Video Integration Unit Lieutenant:

“APDs video footage is automatically deleted after 14 days unless it is saved for a case in evidence.com

I have not requested permission during this time period to retain video footage beyond the 14 day pre-archival period”

Does this mean that all footage that is stored in evidence.com is directly related to a case?

All videos have a retention period of 14 days whether they are related to a case or not. If an officer makes a specific request for a case related video to be saved before the 14 days are up, that video is saved to evidence.com under that case’s incident number.
