Please be advised that in accordance with the agency's records retention schedule, all of the requested files have been purged. If records are provided to a requestor, the file is maintained for one year after the request. If the agency requests a ruling on the responsive records, the file is maintained for two years following the request. As all of these files are over two years old, the agency no longer maintains a copy of the information that was provided. We can, however, pull descriptions from our tracking system. Accordingly, we can process that portion of your request.

Mr. Ricker:

Our computer analyst ran a search for the requested descriptions. To our surprise, he found that only two of the files had descriptions of the requests. Upon further investigation, it was determined that all of the files on your list were initially set up in error. Therefore, the intake person did not complete the tracking process. In our current tracking system, once a file is entered, it cannot be deleted. We merely note that an error was made in creating the entry. If you would like, however, we would be happy to send the two we found.
