Pursuant to the California's Sunshine Amendment (Cal. Const. Art. I, § 3(b)) and the San Francisco Sunshine Ordinance (City Charter, Sec. 67) I hereby request the following records:

- Any email correspondence between the the San Francisco Archdiocese and your agency over the last three years, ranging from Dec. 2012 and today's date. This includes emails from the @sfarchdiocese.org domain and from personal accounts maintained by representatives of the Archdiocese.
- Any phone slips or records of phone conversations between your agency and representatives of the Archdiocese over the same time period.
- Any written correspondence received from the Archdiocese or sent by your agency to representatives of the Archdiocese.
- Any appointment calendars or records of meetings between a representative of your agency and a representative of the Archdiocese.
- Any notes taken during meetings or phone calls between representatives of your agency and a representative of the Archdiocese.

The requested documents will be made available to the general public free of charge as part of the public information service at MuckRock.com, and is not being made for commercial usage.

In the event that fees cannot be waived, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

If you determine that some but not all of the information is exempt from disclosure and that you intend to withhold it, I ask that you redact it for the time being and make the rest available as requested. In any event, please provide a signed notification citing the legal authorities on which you rely if you determine that any or all of the information is exempt and will not be disclosed.

Dear Mr. Kane:

We are acknowledging receipt of your request.

Please know that we do not believe that there are many responsive records to your request. To complete the research based on the criteria that you listed would involve a tremendous amount of time and would require the help of another department – The Department of Technology.

Our department consists of 1,300-plus employees with roughly 1,300 email accounts. We do not have the capacity to electronically search through all these accounts for responsive records for such a large time period: December 2012 to the present (over two years). The Department of Technology might be able to do it but, I know from past experiences, a general search involving a smaller amount of email accounts and a shorter time period took weeks to complete.

However, all this does not mean that we cannot help you. I have already started searching the emails of our director and deputies for possible responsive records. Those records – if any – could lead me to learn where other responsive records may reside.

In addition, if you would like to share with me the topic or the reason for your request, I might be able to deduce which employees would not have responsive records and could eliminate those from the search. You do not have to share this information with me. And, not sharing it with me will not reduce our current efforts.

I will contact you again, when we complete our search of the deputies’ communications.

We completed our research, as I described below, and found records that would respond to it. Those records are attached, and they are:

· A September 4, 2013 email from the Mayor’s Office regarding a September 6, 2013 event

· A June 27, 2014 letter from St. John’s school, and seven emails that were made in response to that letter

· A August 26, 2014 email from Steve Shih regarding the fountain at UN Plaza and an October 11, 2014 event

The above records are from Director Mohammed Nuru and Deputy Director for Operations Larry Stringer’s files. We found no responsive records from Deputy Director for Finance and Administration Julia Dawson, Deputy Director for Infrastructure Fuad Sweiss, and Deputy Director for Buildings Edgar Lopez’s files. We also found no responsive records within Communications Director Rachel Gordon’s files.

Due to privacy concerns, personal information, such as personal phone numbers and e-mail addresses, has been redacted from the documents that we are making available to you. We redacted this personal information, pursuant to Section 6254(c) and Section 6254(k) of the California Public Records Act and Article 1, Section 1 of the California Constitution.

If you would like us to continue our search or would like to give us clarification so that we can narrow the search, please let me know. Otherwise, we will consider this request as completed.
