In regards to the first part of your query for emails: Your request is very broad and may result in the collection of a large number of records.  The City estimates that your request involved approximately 517 emails.  While it is difficult to estimate the time to review these emails for exemptions, at this time my best estimate is that it will take 17 hours at the public records rate of $55.81. You may want to narrow your request by limiting the date range, the email account searched and/or the search terms. Please reply if you would like to narrow
In regards to the second part of your query for emails: No emails were found.
To confirm, we are searching the following locations: Email (Includes archives) of these individuals: All PPB members for the following search terms: S169950_Search #1: "SafeCity" OR " "SafeCity Connect" OR "Safe Cities Northwest" OR "Applied Video Solutions" OR "AVS" OR "Next-Generation Security" || S169950_Search #2: To/from/cc contains: ”@safecitypdx.com” OR “@safecitypdx.org" OR “@avsnext.com” and date range: 01/01/2019 to 03/10/2021.  If this search is incorrect or you would like to make any changes, please notify us immediately.  If you do not make changes, paying the estimate is confirmation of these proposed search parameters.
The requested email search will be conducted on PPB's email server which can search multiple email accounts with a single search and without identifying specific accounts. However, because of space limitations, PPB employees must archive their individual accounts therefore moving the mail to an archive file.  Archive files cannot be searched en masse.  If you want a search of archived content, you must identify the individual email account to be searched and an estimate to search that account's archive will be provided.
If you would like to proceed, paying the 50% deposit (less the $30.00 already received), you are confirming this estimate and agreeing to pay the cost of fulfilling this public records request according to the conditions set forth by the City.  The costs may include the cost of locating records, reviewing records to redact exempt material, supervising the inspection of records, copying records, certifying records and mailing records, including the cost of searching for records.  We will not be working on your request until we receive the 50% deposit.

Please reply to this message or log in to the Portland Public Records Request Center and indicate that you agree to pay the estimate.  You may pay by electronic check or credit card by going to "My Public Records Request Center" and select "View My Payments".  Then scroll to find an invoice in the status of "payment pending" and select "Make Payment".  Follow the screen prompts to make a payment.  Alternatively, you may mail a check made payable to "The City of Portland".  Please be sure and provide the Record Request Reference number (S169950-031021) on your check and mail it to:

Hi Ryan,

Thanks for your response! I would like to narrow my request but want to first understand better the time frame for archiving email accounts so I can figure out the best approach.

Can you tell me how often the email accounts are archived? Is there a schedule, or do individuals archive as needed?

Thanks for any clarification you can provide!

Best regards,
Chris
