To Whom It May Concern:

Pursuant to Kentucky Open Records Act, I hereby request the following records:

Police reports for every motor vehicle break-in and/or larceny from a motor vehicle that occurred in 2015. I want to determine how many vehicle break-ins occurred in your jurisdiction and basic information about each, including what, if anything, was stolen.

I want to see all the information contained in each police report, including, but not limited to, the time and location of each crime; the criminal's method of entry; the make and model of the vehicle; descriptions of what was stolen and where from inside the vehicle each item was stolen; victims' names, ages, addresses and contact information; and the narrative summary of what happened.

If this data is collated in a digital file or database, providing the results of a search query that yields this information would be an acceptable substitute to physical copies of the reports.

The requested documents will be made available to the general public, and this request is not being made for commercial purposes.

In the event that there are fees, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 3 business days, as the statute requires.

Sincerely,

Ben Hallman

Given the quantity of reports that our request is likely to produce, we want to narrow it. Instead of requesting incident reports for every larceny from a motor vehicle in 2015, we are now only requesting reports for larcenies from motor vehicles in which a firearm was stolen in 2015.

We still want see all the information contained in the report, including, but not limited to, the time and location of each incident; the criminal's method of entry; the make and model of the vehicle; descriptions of what was stolen and where from inside the vehicle each item was stolen; the victims' names, ages and contact information; and the narrative summary of what happened.

Please also provide the TOTAL number of larcenies from motor vehicles that were reported to your department in 2015, no matter what, if anything, was stolen. All we need here is a number.

If this data is collated in a digital file or database, providing the results of a search query that yields this information would be an acceptable substitute to physical copies of the reports.

A letter stating the requester must agree to or prepay assessed or estimated fees in order for the agency to continue processing the request.

Dear Requestor,

Thank you for your recent open records request. We typically are unable to communicate via email but we continue to receive communication via fax regarding your most recent request, so I wanted to confirm that we have received your request and a notification response has been sent to the address provided within your initial request.

If at all possible can you relay the message that all requests from MuckRock are being faxed to a fax number that is outside of the Open Records Unit, which can cause a delay in receiving requests. The correct, and preferred, fax number is (859) 425-2270. Also, it appears as if the "follow-up" faxes from MuckRock are auto generated. Is there a way to discontinue that option as with each "follow-up" request faxed it is currently printing out 15 pages of information. This occurs about every 3 days.

If you are receiving this email in error, please be so kind and respond with a contact name from MuckRock so that we may communicate these concerns to them. It is our goal to respond to every request as quickly as possible and within the 3 day window so it will be helpful for everyone if we could relay the correct fax number.

Respectfully,

Shannon
