From: BOBBI JO ALEXIS

Dear Waqas Mirza/MuckRock Dept MR 28289,

Culpeper County received your request for records dated September 19, 2016.
In accordance with routine practice, the VFOIA was forwarded to my office for general processing.

The Virginia Freedom of Information Act (VFOIA) provides requestors, who are citizens of the Commonwealth, representatives of newspapers and magazines with circulation in the Commonwealth, and representatives of radio and television stations broadcasting in or into the Commonwealth, access to public records. See VA Code Sec. 2.2-3704.
Nonetheless, Culpeper County makes timely response to you today in accord with VFOIA.

In accordance with VFOIA, I write to you today, the fifth (5th) working day following the date of your request to invoke the statutory extension of time permitted the County under VA Code Sec. 2.2-3704(B)(4).
The County requires additional time to process your request, as is afforded the County at Sec. 2.2-2704(B)(4) of the Code of Virginia.
The entirety of the additional seven workday extension period afforded the County under the Act is not needed in toto.
The County anticipates further response and production consistent with VFOIA will be made to you via email on or before September 28, 2016.

In order to complete an exhaustive and thorough search to identify and produce responsive records to you, the County simply requires additional time.
The search volume involves: multiple search terms, seven email accounts, and a span of near 8 months.
The County is committed to diligent and accurate VFOIA production.
I look forward to providing further response on or before Wed. September 28, 2016.
Per your request, the County shares with you that the estimated cost for production that may be charged is approximately thirty five dollars ($35.00) or less.

Thank you for your civic inquiry, always.

Sincerest regards,
Bobbi Jo Alexis

Dear Waqas Mirza/MuckRock Dept MR 28289,

I write to you today in follow up to my email below.
I had hoped to be able to make final production to you on today.
However, the volume of records for the Records Management department to search through and identify responsive records is larger than I anticipated.
As such, consistent with the extension provision at VA Code 2.2-3704, the updated estimated production date is Friday, September 30, 2016.
This updated production date is still well within the statutory time period afforded the County under the Virginia Freedom of Information Act to make production.
Despite the increased actual cost, the County shares with you that the cost for production billed to you would remain at thirty five dollars ($35.00) and no more.

I would be grateful if you could confirm receipt of my correspondence.
I want to insure you are receiving complete and up-to-date information regarding your request.
I would also appreciate your feedback as to the estimate.

Again, thank you for your civic inquiry.

Sincerest regards,
Bobbi Jo Alexis

Dear Waqas Mirza/MuckRock Dept MR 28289,

Please see the below which I tried to send to you yesterday at 5:07pm, but it appears there was some computer network problem on your end. At this time, I will also be sending duplicate hardcopies of all my communications to you.

Thanks and take care.

Dear Waqas Mirza/MuckRock Dept MR 28289,

I had hoped to be able to make final production to you before today, but that has simply not been possible given the volume of responsive records.
Consistent with the extension provision at VA Code 2.2-3704, the updated estimated production date is no later than Wed. October 5, 2016.
This updated production date is within the statutory time period afforded the County under the Virginia Freedom of Information Act to make production.
Despite the increased actual cost, the County shares with you that the cost for production billed to you would remain at thirty five dollars ($35.00) and no more.

Again, thank you for your civic inquiry and your continued patience consistent with the statutory extension time period.
