Pursuant to the Massachusetts Public Records Law, M.G.L. c.66, ยง10, I hereby request the following records:

I am seeking details of all private meetings taken by Cambridge City Councilors during the period between 12/1/2012 and 5/18/2015, including the times and dates of all meetings, the subjects and agendas of the meetings, the names of all meeting participants, and any and all documents related to such meetings.

I also request that, if appropriate, fees be waived as we believe this request is in the public interest, as suggested but not stipulated by the recommendations of the Massachusetts Supervisor of Public Records. The requested documents will be made available to the general public free of charge as part of the public information service at MuckRock.com, processed by a representative of the news media/press and is made in the process of news gathering and not for commercial usage.

I expect the request to be filled in an accessible format, including for screen readers, which provide text-to-speech for persons unable to read print. Files that are not accessible to screen readers include, for example, .pdf image files as well as physical documents.

In the event that fees cannot be waived, I would be grateful if you would inform me of the total charges in advance of fulfilling my request. I would prefer the request filled electronically, by e-mail attachment if available or CD-ROM if not.

Thank you in advance for your anticipated cooperation in this matter. I look forward to receiving your response to this request within 10 calendar days, as the statute requires.

Dear Mr. Barker,

I apologize for the City's delay in responding to your May 25, 2015 public records request directed to citycouncil@cambridgema.gov. Please be advised that your email was discovered only yesterday, August 11, 2015 by City Council staff as it had been delivered to the Junk Mail folder. This is why the City had not responded to your request until today.

As to the substance of your May 25, 2015 email you requested "details of all private meetings taken by Cambridge City Councilors during the period between 12/1/2012 and 5/18/2015, including the times and dates of all meetings, the subjects and agendas of the meetings, the names of all meeting participants, and any and all documents related to such meetings." I have not yet conferred with the relevant City personnel on your request but I anticipate that this will be a major undertaking of time for them and expense for you. In the hopes of providing you with documents that are probative and relevant for your use, are there particular substantive issues that you are interested in that might serve to narrow your request? If the answer to this is "no," then the City will provide you with a fee estimate for the purposes of complying with your request as submitted on May 25, 2015.
